The club holds and AGM each year as per the constitution. The AGM elects the officers for the following year and also elects the selection committee.

Brookfield Badminton Club Annual General Meeting

Minutes of meeting held on Tuesday 22 May 2018 at Victory Hall, Warsash.

Neal Johnston arrived for the meeting and although he is not a paid up member of the club those present agreed he could remain but would not have any voting rights.

2. Minutes of AGM 2017
The minutes of the meeting of 23 May 2017 were agreed as a correct record.

3. Matters arising from the minutes of 23 May 2017
The Eddie Peckham Cup is again arranged as a one-day tournament this season. As Brookfield did not enter a team in the Southampton League Pam had asked the tournament organiser if we would still be able to enter the cup competition but unfortunately had not received a reply.

4. Treasurer’s report
The treasurer distributed copies of the accounts and updated the meeting on last year’s accounts. A full year loss of £100 had been predicted for the year ending 31 August 2017 but we actually ended with a small profit of £37.40 resulting from a lesser spend on shuttles used for the Summer Club. As previously mentioned we would need to reduce to 2 courts if numbers for the winter season dropped further and we are at that point now. It is hoped we will breakeven for the summer so the full year loss is predicted at between £400-£450. With reduced numbers income is down by over £400 for the current year – costs of hall hire and shuttles keeps rising but unfortunately income doesn’t.
Taking all factors into account the treasurer recommended that Winter Subs be increased by £10 to £140 with an appropriate reduction given if BE fees were paid elsewhere.
Paul recommended that Summer Subs increase by £5 to £55 – this is still just under £4 for each available club night.
Match Fees to £2 per game (current fee is £5 for 3 game match) and Guest fees to remain at £5.

It is further recommended that, unless we have the equivalent of 19 paid up adults, that would generate an additional £480 income compared to this year, we will reduce to 2 courts during the winter season thereby saving £600 in costs.

Proposals for the 2018-19 fees were agreed.

5. League Team reports
a) Winchester Mixed – Team Captain (Paul Shelton)
Having finished 2nd last season in Div 3B we found we had been “promoted” to Div 2A for this season and finished a respectable 4th out of 8. Pam, Jane, Paul and Steve were again ever present and we welcomed back Alison Ball and Dave Bassett to make up the third pair. There were injuries (Dave very early in the season) and we had to call on others to fill in – special thanks to Roy and Ben who ended up playing in half the matches each and to Sue Tooke and Kerry Marks for being our extra lady when needed. Alex also stepped in to help out when we needed a further reserve. Unfortunately Alison has had to withdraw due to an ongoing injury so we could struggle to field a team for next year!

d) Portsmouth Men’s – Team Captain (Steve O’Donnell)
There was a re-structuring of the league this season that meant we played in Division 2 with a total of 6 teams. Divisions were much smaller than the previous season and we played 10 matches in total rather than the 16 we had last season. The points awarded system also changed with 1 point being given for each individual game won within a match. A new rule also meant that the team finishing 5th (out of 6) could be “challenged” by the team finishing 2nd to top in the division below. This challenge was made and accepted and pleasingly Brookfield came out winners 6-2 to retain our place. Steve mentioned that there may be further changes to the structure next season to enable more games but this has not yet been decided and we await news. Steve extended thanks to all those who played.

e) Winchester Men’s – Team Captain (Alex Ollis)
Alex was unfortunately not present but players reported it had been a tough season and regrettably Brookfield was relegated to Division 3 for next season.

6. Election of officers
All existing officers were prepared to stand for another year so as no other nominations were received Geof (Chair), Paul (Treasurer) and Pam (Secretary) were re-elected. Jane agreed to carry on as Match Secretary.

7. Teams to be entered for 2018-19 season Next season will be difficult as we are losing several members due to injury and other reasons. It was agreed that we initially enter teams in the P&H Men’s league, Winchester Men’s league and Winchester Mixed league and also the Southampton Men’s Fours and the Mixed Fours until we have a better idea of membership numbers and availability of players for teams.

8. Election of selection committee
Alex, Dale, Pam, Matt and Jane were elected for the 2017-18 season.

9. Lockswood Community Centre Courts
Geof reported that the walls at Lockswood are to be painted (BE specified colour!) before the start of next season. New posts have also been purchased although Jane who plays regularly at Lockswood says there have been some stability issues with some of them that Geof agreed to investigate.
Yet again we record a big thank you to Geof for his continued support and caretaking at our home matches at Lockswood.

10. Fair Oak Badminton Club
Fair Oak is no longer able to play at Itchen College and is considering Brookfield school on Thursday evenings, 8:15-10pm. As their numbers have fallen they would like to invite Brookfield players to consider joining Fair Oak and playing an additional night at the school. It was made clear there is no intention to “poach” players from Brookfield as it is unlikely they will be entering any teams but would just like to offer the extra night of badminton. It was agree Pam would send an email to our members accordingly.
